Company Secretary Administrator
The purpose of this role is to support the Corporate Governance Officer in managing the Corporate Governance agenda and assisting with day-to-day reporting and filing requirements.
The role will include significant interaction with the Executive Team and presents an exciting opportunity to be involved in implementing new governance structures and processes in a growing organisation.
This is a hybrid, full-time position. Core working hours are 10am – 4pm (Mon-Fri).
Responsibilities & accountabilities

Assist with the organisation of the governance/compliance function and relevant workflows.

Maintain contract and policy database and support the development and implementation of legal templates and process improvements.

Review contracts and escalate issues to CGO.

Schedule and manage board and committee meetings.

Prepare agendas and collate meeting packs and track to closure actions arising from meetings.

Prepare minutes and other routine company secretary records.

Ensure appropriate statutory returns are made on time and company registers are kept up to date.

Maintain governance register.

Assist with ad hoc governance projects that arise.
Key capabilities
-
A minimum of 1-2 years' experience as a legal executive / paralegal.

Previous experience as an assistant company secretary desirable.

Strong organisational skills, effective planning and problem solving and analytical skills required.

Adept at working on Microsoft Word, Excel, PowerPoint and Outlook.

Excellent attention to detail and administrative skills including minute-taking.

Comfortable with handling a range of tasks in a fast-paced environment.

Excellent interpersonal and communication skills.

Proactive hands-on approach and a can-do attitude.

Experience using contract and company secretarial systems e.g. Diligent, Viewpoint or other Company entity management software is desirable.
